Creation & Management Of Systems & Processes

Creating and managing systems and processes is not just for large manufacturing businesses. It is relevant to businesses of every size. If something has to be done the same way each time you do it, that is a system – and creating systems that are effective and efficient can save a significant number of valuable working hours.

Standard Operating Procedures (SOPs)

Closely linked to building systems and processes is the importance of documenting them properly and keeping them updated. An SOP that exists only in someone’s head is not really an SOP at all. Onboarding a new employee, customer, or client can be enormously time and resource-heavy if the process is not clearly documented and followed consistently every time. Writing thorough SOPs and committing to keeping them regularly updated is one of the simplest ways to protect your time and maintain a consistent standard as your business grows.

Policy Management

How many times have you reached for a policy document only to find it is out of date, triggering a last-minute scramble to get it rewritten, reviewed, or updated because you need it right now? It is a frustrating and avoidable situation. Creating a system for regular policy review – diarising when each document needs to be checked and revisited – removes that pressure entirely. It takes a small amount of effort up front and saves a considerable amount of time and stress in the long run.

Do you create SOPs and policy documents from scratch, or work with what I already have?

Both. If you have existing documents that need updating or restructuring I am happy to work from those, and if you are starting from nothing I can help you build them from the ground up.

How often should SOPs and policies be reviewed?

It depends on the nature of the document and how quickly your business or its environment changes, but as a general rule, most operational SOPs benefit from a review at least once a year. Policies linked to legislation or compliance may need more frequent attention.

Can you help map out processes that have never been formally documented?

Yes, and this is often where the most valuable work happens. Many businesses have processes that exist in people’s heads or have evolved organically over time without ever being written down. Working through those, capturing them clearly, and identifying where they can be improved is something I do regularly.
